Document Requests

Step-by-step guide

How to Approve, Reject, or Discard a Requested Document

Review a document item, download its clean files, request a replacement, or mark it discarded without deleting its records.

Use the Actions... dropdown on a document row to update that item's review status. Intake forms use a separate review workflow and do not have this dropdown.

Inspect the files first

  1. Open the request's Details tab and find the document in Request items.

  2. Read the instructions in Description and any messages under Conversation.

  3. Under Files / Forms, select each Download: File link you need to review. Only files with a clean security-scan result are offered for download.

Files Not Uploaded Yet means no clean file is currently available to download. A file may still be scanning or may have failed its security check; the placeholder alone does not identify the reason.

Approve an acceptable document

  1. After inspecting the file, open Actions... on its row and choose Approve.

  2. Confirm the row shows Approved. The client portal treats that item as accepted and hides its upload form.

  3. Check the overall request status. Approval also evaluates whether all request items are fulfilled and may complete the request.

Approve updates the review status; it does not upload a missing file or override a failed security scan. A document needs a clean file to count as fulfilled.

Reject a file and explain the replacement

  1. Choose Reject from the item's dropdown.

  2. In Reject Item, enter a clear reason, such as a missing page, an unreadable image, or the wrong reporting period.

  3. Select Reject Item to save, or Cancel to leave the item unchanged.

  4. The client can read the rejection reason and use Re-upload to provide a replacement while the request remains active. Use Conversation or resend the request if you need to draw attention to the change; rejection does not itself send a dedicated replacement-request email.

Rejection does not delete the existing uploads. The current fulfillment count checks for a clean upload independently of review status, so a rejected document with a clean file can still contribute to the fulfilled count. Always inspect the row's status as well as the overview before closing collection.

Discard an item

  1. Choose Discard from the document row's dropdown only when you intend to mark that item discarded.

  2. The status changes immediately; there is no separate discard confirmation dialog.

  3. Use Conversation to explain the decision if the client needs context.

Discard is a status change, not deletion or a waiver. The row, files, and activity remain. It does not remove the item from Total items or automatically satisfy an item without a clean upload. A discarded item with an existing clean file still contributes to the current clean-upload fulfillment count. Use request cancellation, not Discard, when you need to stop client access to the entire request.
