Document Requests

Step-by-step guide

How to Cancel a Document Request and Understand Its Effects

Stop an active request, disable client access, and understand what happens to files, answers, reminders, and usage.

2 min read

Cancel a request when you no longer want the client to provide information. Cancellation affects the entire request, not just one document or form. Only an active request can be cancelled from Request actions.

  1. Open Requests and select the correct request. Confirm the recipient's email and review the items.

  2. In Request actions, select Cancel request, after Mark complete.

  3. Read Cancel this document request? and its warning about disabling client access.

  4. Select Yes, Cancel Request to proceed. Select Keep Request Active if you do not want to cancel.

  5. Check that the request status is Cancelled and its request actions are locked.

What cancellation changes

  • Client access stops: The client cannot continue uploading documents, opening or editing intake forms, submitting answers, or sending new notes through the cancelled request.

  • Records remain: Cancellation does not delete the request, uploaded files, saved answers, conversations, review comments, or audit history. Authorized staff retain access to the request records and eligible clean-file downloads.

  • New routine reminders stop: Cancelled requests are excluded from the reminder and mail-retry sweep. An email job already queued before cancellation may still be delivered, but its link does not restore access.

  • No cancellation email is sent automatically: Tell the client separately if they need to know why collection has stopped.

  • Usage is not refunded: Cancelling does not reduce the number of requests already created during the workspace's allowance period and does not change your subscription.

Cancellation is not item rejection or deletion

To ask for a replacement file, use the document item's Reject action. To ask for corrected intake answers, use Request changes on the form review page. Those actions keep the request open for the client. Cancelling instead stops collection for all its items.

The request page does not offer a self-service undo for cancellation. Reopen for client on an intake form does not reactivate its parent request. Contact your workspace administrator or support if you cancelled by mistake; do not assume resending the old link will reopen it.
