Document Requests

Step-by-step guide

How to Read the Request Overview and Item Table

Understand the request counts, progress, item statuses, and the difference between documents and intake forms.

2 min read

Open Requests from your dashboard and select a request to open Request details. Check the client email and request status before taking an action.

Read the overview counts

  • Total items: The number of requested items, including documents and intake forms. An item can contain more than one uploaded file without increasing this count.

  • Fulfilled: Document items with at least one clean uploaded file, plus intake forms approved by a reviewer.

  • Forms awaiting review: Submitted intake forms that need staff review. Submission alone does not fulfill a form.

  • Outstanding: Total items minus fulfilled items. Forms awaiting review are already included in this number; do not add the two counts together.

The progress bar shows the percentage of items fulfilled, not the percentage of files approved. For example, a request with two clean document uploads, one submitted form, and one unstarted form has four items, two fulfilled, one form awaiting review, and two outstanding: 50% fulfilled.

Use the item table

  1. In Details, find the item in Request items. A Form badge identifies an intake form.

  2. Read the Status column to understand the review state. Review status and fulfillment counts are not always the same.

  3. On wider screens, hover over a shortened Description to read its full instructions. The displayed preview is limited to 15 characters, including the ellipsis. Use the edit-description control to change it.

  4. Use Action for document review controls or Review form for a submitted intake form.

  5. Use Files / Forms to download clean files or open a submitted form. Not submitted yet means the client has not submitted the form, even if they have saved draft answers.

Choose the right tab

Details shows the item list. Activity records request and item actions with who performed them and when. Conversations groups messages by item. The request overview and request actions remain separate from these tabs. On smaller screens the top sections stack and the table can scroll horizontally.
